Thank you for your continued support of NAILBA!

Welcome to the 2011 NAILBA 30 newsletter. This is the eighth, and final, in a series of monthly informational documents which will inform you of items relating to the annual meeting. Please take the time out of your busy day to read this each month as some of the information contained in these monthly mailings will only be sent to you, the main contact, and may only be sent one time. If your booth’s contact changes PLEASE let us know immediately. As stated on all your contracts it is your responsibility to inform us of any changes to your company’s contact.

2012 EXHIBIT SPACE PRIORITY POINT SELECTION

Booth selection for the first 40 companies on the NAILBA priority point list is complete.  The remaining companies will pick their preferred booth locations onsite on Friday, November 18 from 11:00 am – 12:50 pm in the NAILBA Staff Office (Pinnacle Peak 1).   Current  floorplans and information packets were sent to each company who will be picking space that day.  Please read all the information and be prepared to attend the onsite space selection office during your pre-scheduled time.   Proxies will once again be available for those companies who cannot have an individual available to make booth selections. A 25 percent deposit MUST accompany the contract to hold space. No space will be held without this deposit and the contract. All deposits and contracts MUST be received no later than November 30 to be considered official. Any spaces without contracts/deposits will be released and opened to the General Public for sale on December 5, 2011.

MULTIPLE EXHIBITOR/SPONSOR BADGE PICK-UP
If your company has 10 or more badges that you would like for a company representative to pick up at one time for your group please email your list to the attention of Susan Haning shaning@nailba.org no later than November 11 at noon with a complete list of names and the name of the person who will be responsible for the pick-up. When picking up the badges you must have this same list which will be signed off on and badges/registration bags will be given to the company representative. This person assumes full responsibility for picked-up badges/bags. No Exceptions!

CHAIRMAN'S RECEPTION INVITES
Primary booth contacts and company CEO/Presidents have been mailed a personal invitation to attend NAILBA’s Chairman’s Reception at the Annual Meeting. Please plan to join us at this special event, dedicated to saying “Thank you” to the exhibitors and sponsors who support NAILBA.

HOSPITALITY SUITE POSTING OF INFORMATION TO ATTENDEESS
Would you like to have an announcement for your company’s hospitality event posted in one central location for added visibility to NAILBA 30 registrants? Complete the Hospitality Suite Posting Form to include your hospitality event or meeting listing in our registration area for all attendees to locate you.

Forms must be submitted to NAILBA headquarters prior to November 9 or can be returned onsite at the Registration desk. Events will only be posted on the day of the event!

NOTE: The following rules and regulations apply to all NAILBA 30 ancillary events - violators risk future involvement in NAILBA events. Thank you for your cooperation!

  • · NO SPACE REQUESTS WILL BE APPROVED THAT CONFLICT WITH NAILBA PROGRAM HOURS.
  • · ALL events MUST take place at the JW Marriott Desert Ridge - ABSOLUTELY NO OFF-SITE EVENTS ARE ALLOWED THURSDAY, FRIDAY or SATURDAY (until after the Golf Awards Reception).

SHIPPING TO SHOWSITE
As stated in the JW Marriott Desert Ridge and Spa facilities guide- The JW has NO storage facilities for exhibit/event materials. All freight must be consigned to Hargrove (see the online service kit for logistic information). Shipments that arrive prior to show time may be refused and/or forwarded to Hargrove at the exhibitor’s expense. Any packages received through the resort could incur fees from BOTH the resort and Hargrove. Don’t incur additional expenses- please follow all shipping instructions. Please also be aware that those who insist on sending direct to the hotel may incur long waits to receive their packages as evidenced at last year’s meeting. NAILBA assumes no liability for those that ignore our recommendations and send to the hotel as we have instructed those shipping exhibit items to send through our General Services Contractor- Hargrove to avoid these long waits.

EXCHANGING OF NAME BADGES / SUITCASING
The exchanging of name badges at NAILBA events is strictly prohibited. Anyone seen in violation of this rule will be asked to leave the show floor or event areas immediately.

Please note that while all meeting attendees are invited to the event, any attendee who is observed to be soliciting business in the aisles, in other public spaces, or in another company’s booth, is “suitcasing.” Violations of NAILBA’s Suitcasing Policy will be asked to leave immediately. Additional penalties may apply. Please report any violations you may observe to NAILBA staff.

We recognize that suitcasing may also take the form of commercial activity conducted from a hotel guest room or hosptiality suite; a restaurant, club or any other public place of assembly. Only those companies which have contracted with NAILBA may conduct buesinss during NAILBA 30.

Do not register or give a badge to anyone not qualified to be in the Show. It is NAILBA's objective to do everything legally possible to protect you from suitcasing.

It has come to our attention that non-members, non-exhibitors and/or non-sponsors are planning to attend NAILBA 30 to solicit business from our attendees. Please be aware that NAILBA’s meeting is open only to registered members and exhibitors/sponsors. We will make every effort to support our current sponsors and exhibitors by preventing suitcasing. Please be observant of this and do not invite or encourage non-NAILBA supporters to attend our event unless they purchase a sponsorship or booth space. We have received several calls from individuals representing potential sponsors/exhibitors, advising us they have been invited by or will be sharing a booth with current exhibitors. Booth sharing is only permitted if the registrant’s company currently supports the exhibiting company in a business capacity; in this situation, the supporting vendor registrant badge MUST display the name of the exhibiting company. In addition, they cannot sell or advertise their services except under your company name. Please assist us in assuring observance of these rules.

AUTHORIZED NAILBA VENDORS
As you have noticed by the amount of unsolicited emails this year we have had numerous unauthorized NAILBA vendors attempting to act as our representatives in selling you their products and services.  Although we cannot prevent you from using these vendors please be aware that they are not authorized by us and you may incur additional drayage and shipping charges as a result of using these outside vendors. The authorized vendors are listed in your service kit.

EXHIBIT HOURS
As previously announced, we revised the exhibit hall hours and logistics for NAILBA 30. To confirm, the exhibit hall will close this year at 4:00 pm on Friday, November 18. The Mooers Award Reception will be hosted in the Foyer of the NAILBA General Session area.

Exhibitor Move-in: Wednesday, November 16: Noon - 5:00pm
Thursday, November 17: 8:00am* - 11:00am

PLEASE NOTE: Since the NAILBA exhibit hall is now closing at 4:00pm based on your feedback, please respect the integrity of the show as well as the efforts of your fellow exhibitors, and refrain from early move-out. Early move-out not only lessens our members’ perception of the early-departing exhibitor, it impacts their overall impression of the event. Penalties for early move-out are identified in your exhibitor contract.

BOOTH SIZE / RESTRICTIONS / RULES
Just a reminder that we will continue to STRICTLY monitor booth height issues - see restrictions as noted on the back of the 2011 Exhibitor Space Contract. Any booths over 8’8" in height may be removed at show management's discretion. Please make sure your booth meets the height restrictions by having it built or constructed less than 8’8”- don’t risk having your booth removed!

QUICK REMINDERS FOR EXHIBITORS

By now you’ve certainly made your flights, hotels, and inbound shipping.  And, NAILBA and the Hargrove team look forward to seeing you at the show. 

Don’t forget:

1. Inbound shipping:  Follow instructions as outlined in the service kit on where and how to ship your inbound materials.  Avoid costly mistakes and missing shipments by adhering to schedules, dates, and locations.   Don’t risk having your shipment refused by ignoring the information as outlined in the service kit. 

2. Remember when booking outbound shipping the move out ends on Friday at 9:00 PM.  There is no Saturday move out this year unless SPECIAL permission has been granted. 

  1. 3. Be sure to schedule your outbound shipping.  Contact Hargrove or your preferred carrier for a competitive shipping quote and make the arrangements PRIOR to the show closing. 

Do this now to make sure you can enjoy your Friday night and Saturday morning on the golf course with fellow NAILBA members and friends. 

SALES TIPS OF THE MONTH

Turn Your Cards Into CASH! $$$$$

  • Do you have business cards hiding in all kinds of places?
  • Do you find business cards in your pockets, in the bottom of your bag, a briefcase or other spots?
  • Do you know you have to do some follow-up but you can't find the cards from the event?
  • Have you set a resolution to GET them organized this year?

If you want to grow your business by a minimum of 20% this coming year...YOU must organize your data!  You can't build a network that will provide more net worth if your data is NOT organized.

FOUR steps to take in the next 30 days so your 2011 will BE a Banner year!

  • Action One: Gather all your business cards in ONE place
  • Action Two: Divide the cards into groups, i.e. Event Name, Vendors, Current clients (you decide how you want the groups entered)
  • Action Three: Enter the data into a manageable format (I use CardScan)
  • Action Four: Export the data to all your various outlets (mine include: Outlook, Facebook, an Excel file to my VA for my ezine uploads, my phone, Filemaker)

Once your data has been entered and all of your marketing arms have been updated...THEN you are able to Turn Your Cards Into Cash

Six Ways To Leverage Your Data

  1. 1. Have current information to make connections
  2. 2. Send your updated list your monthly ezine
  3. 3. Send specials during the year
  4. 4. Have current websites for research on products and services
  5. 5. Easily create labels for different mailings throughout the year (Birthday cards, Thank You cards, Get Well cards, Special    Occasion cards etc.)
  6. 6. Have the current information for all your sales follow up

These are just a few ideas how you can use your data to grow your network, business and beyond!  Take time NOW to take these action steps and watch your net worth grow as you network!  Get out of the messy zone and into the Cash Zone ~ GET ORGANIZED NOW!
